The Executive Office Assistant - Support is responsible for providing administrative support to the executive offices as assigned with reporting responsibility to the Executive Office Support Manager. Responsible for assisting and supporting the general business needs of the executive offices, including help with internal communications, event coordination, reporting and other business initiatives. In the absence of the Executive Office Coordinator and/or Executive Office Assistant (operations), this position is responsible for duties assigned to those roles as directed.
Responsible and Accountable for:
Interacting closely with the VP Corporate Planning and Executive Office Support Manager to facilitate completion of executive office projects and assignments.
General housekeeping of the Executive Offices, including ordering supplies, upkeep of kitchen, copier, and supply rooms, etc.
Preparing internal / external communications as directed, including deliverables for monthly correspondences, such as birthday cards, emails, etc.
Daily distribution of incoming / outgoing mail for the executive offices.
Coordinating & communicating the participation in community / business-related meetings and events as requested, including calendar appointments, meeting setup, and compiling any necessary assets, documents, or materials. Examples: business luncheons, Board/SLT photos, sponsorships, team member celebrations, internal/external events, ticket & apparel distribution, etc.
Supporting SVPs/VPs with calendar, correspondence, report prep, admin requests, etc.
Maintains all enterprise credit cards, including processing for payment, completion of monthly reconcilement, uploading invoices, etc.
Assists with travel arrangements and logistics for team members attending events, includes the authority to purchase necessary airfare, lodging & transportation services as needed and within budget according to the travel authorization.
Providing support and backup to other administrative team members as assigned.
Knowledge, Skills and Abilities:
Outstanding organizational skills with a strong attention to detail
A self-motivated individual who can work independently with a strong initiative and ability to prioritize multiple tasks/activities within specified deadlines
Collaborative problem solver
Exceptional communication skills both verbally and in writing
Solid computer skills, including MS Office, Adobe Acrobat/Kofax PDF, and demonstrated PowerPoint experience
Education and Experience:
Education: High school diploma or GED required. Associates/Bachelor’s degree preferred or equivalent experience.
Experience: 2-3 years executive support and administrative assistance experience, including event / travel coordination; 1-2 years progressively more responsible job-related experience
